Dundee Township Regular Meeting Minutes of June 23, 2009

DUNDEE TOWNSHIP

REGULAR MEETING

JUNE 23, 2009

 

 

The regular meeting of the Dundee Township Board was held Tuesday June 23, 2009 at the Dundee Township Hall.  Supervisor Uhl called the meeting to order at 7:00 p.m.  Present were Supervisor Uhl, Clerk O'Lone, Treasurer Sontag and Trustees:  Larson, Lazette, Juckette and Winkelman.  The Pledge of Allegiance was recited. 

Motion by Treasurer Sontag and supported by Clerk O'Lone to approve the agenda as printed.  Motion carried.

Motion by Trustee Winkelman and supported by Trustee Juckette to approve the regular meeting minutes held Tuesday June 9, 2009 and waive the reading of such.  Trustee Larson abstained from voting due to her absence at the meeting.  Motion carried.

Motion by Trustee Larson and supported by Clerk O'Lone to accept the treasurer's report for May 2009.  Motion carried.

Motion by Trustee Larson and supported by Trustee Winkelman to accept the correspondence and place on file.  Motion carried.

 

OFFICIAL REPORTS

Supervisor Uhl

The road commission hosted a meeting with Supervisor Uhl, Treasurer Sontag and Trustee Lazette.  The road commission would like all townships to submit future road projects to them so that scheduling and budgeting can occur.  Board members are hesitant to earmark funds for projects with the problems currently occurring with the road commission.  The Radka Road drainage project is on hold until the additional requirements mandated by the road commission can be investigated.  The drain commission has Louis Roe on their recommended user list however; the road commission is requiring additional criteria for any work being performed.

 

The first of two presentations were given to the board from firms specializing in grant writing.  Representatives from the Poggemeyer Design Group presented board members with information outlining their company's history and qualifications.  There headquarters are located in Bowling Green Ohio and have been in business for 40 years.  Local projects include the Bedford Township Hall, City of Monroe waterline replacement and the Bedford Kroger complex.  They have LEED certified personnel that specialize in designing buildings that are energy efficient.  If this company is chosen they mandate that they are used for the design phase as well.

 

Motion by Supervisor Uhl and supported by Trustee Lazette to take a recess for ten minutes in between presentations.  Motion carried.

Motion by Supervisor Uhl and supported by Trustee Lazette to return to the open meeting.  Motion carried.

 

Representatives from OHM also presented information to board members.  They have been a Michigan based company for 47 years.  Past qualifications include fire stations and road funding grants.  They have worked closely with Milan Township monitoring the various stages of closings occurring at the Holcim Plant.  They do not require that they be used for the design phase of any projects and are willing to charge for only the scope of work performed.

References will be contacted and this will be placed on the agenda for the next board meeting.   

 

OFFICIAL REPORTS CONTINUED

Trustee Larson

The new driveway was constructed at the Oak Grove Cemetery.  This will allow easier traffic flow for funeral processions.

 

Trustee Lazette

No response has been received from soil works regarding the samples recently sent to them for the possible road maintenance project.

 

Trustee Juckette

The stone on the front of the township hall is loose and will need repair.  There is a sink hole on Brewer Road due to a broken cross tile.  Trustee Juckette posed the question regarding the status of the letter to be sent to the taxing jurisdictions regarding support for all of the tax tribunal submissions.  Supervisor Uhl will be working with Assessor Mike Miletti to develop a letter.  Every year the fire department assists at the Monroe County Fair.  Motion by Supervisor Uhl and supported by Trustee Larson to allow the fire department along with the equipment to assist at the Monroe County Fair.  Motion carried.

 

Trustee Winkelman

The air conditioner in the radio room is no longer working. Motion by Supervisor Uhl and supported by Clerk O'Lone to approve the purchase of a new air conditioner for the radio room at the fire hall at a cost not to exceed $500.00.  Motion carried.

 

Treasurer Sontag

The summer tax bills will be sent out on June 29th and 30th

 

Clerk O'Lone

Samples of weed ordinances have been given to the policing ordinance officer for his suggestions.  A $150.00 donation was received for a tree that will be planted at the new fire station in remembrance of Trustee John Williams.

 

 

 

 

NEW BUSINESS     

The states new zoning compliance regulations stipulate the planning commission establish procedures and by-laws. They were approved at the regular planning commission meeting held Wednesday May 20, 2009.  Motion by Supervisor Uhl and supported by Trustee Lazette to accept the planning commission by-laws and rules of procedures established at the regular planning commission meeting held on May 20, 2009.  Motion carried.

 

Motion by Clerk O'Lone and supported by Trustee Larson to pay the bills in the amount of $19,314.23.  Motion carried.

 

Motion by Clerk O'Lone and supported by Trustee Lazette to adjourn the meeting.  Motion carried.  Time of adjournment was 9:15 p.m.
